Help and support

Answers to the questions clinicians ask most. Support for accounts, plans and billing is handled by APRN Academy.

Getting started

Create a NoteGuide account, then open charting. The first screen asks you to acknowledge that charting is stored on the device you are using and that patient identifiers must not be entered. Charting begins with Full Medical H&P / New Patient Evaluation or Medical Follow-Up, and the other workflows sit below those.

The demo uses fictional data and needs no account.

Accounts and subscriptions

One NoteGuide account works for NoteGuide Medical, NoteGuide Mental Health, or both. Each product needs its own active subscription. A Mental Health subscription does not unlock this app.

Plans are chosen and purchased at APRN Academy, which handles billing, receipts, cancellations and refunds. You can compare NoteGuide products there too.

What happens after you purchase

APRN Academy sends you back to an activation link. Open it while signed in with the email you purchased with, and your NoteGuide Medical subscription is matched to your account. Opening the same link again is safe: it simply confirms access is already on.

If activation is delayed, nothing is lost. The reference in the link is kept on your device, so you can reopen the page and choose Try again, or sign in and use Recheck under Account & Access. If the page says the email does not match, sign in with the email on the receipt. If it still will not activate after a few minutes, contact APRN Academy.

My subscription is not showing

Sign in and open Account & Access, then choose Recheck. Access is matched by email, so use the same email you purchased with. If you bought with a different email, sign out and sign in with that one, or contact APRN Academy to move the subscription.

After checkout, the activation link from APRN Academy finishes the connection between the purchase and your account.

Password problems

Use Forgot password on the sign-in page. The reset link opens a page where you set a new password. The same password works for every NoteGuide product on your account.

Offline use and installing

On iPad, iPhone and Windows you can install NoteGuide Medical from the browser menu. Once installed, charting continues without a connection because everything is saved on the device. A connection is needed only to sign in and to confirm your subscription.

On iPhone: Safari, then Share, then Add to Home Screen, then Add.

Opening it without typing your password

At sign-in, leave Keep me signed in on this phone ticked. Sign in once. After you add NoteGuide to your Home Screen, it can reopen without asking for your password each time. Your phone’s Face ID or passcode still protects the device, and your NoteGuide Medical subscription is checked every time the app opens.

Signing out, clearing Safari or app data, or switching to another browser or device means signing in again. You can switch this off at any time under Account & Access, where “Sign out and forget this phone” also lives. Nothing you charted on the device is deleted when you do that.

Backups

Records & Backup exports your charting as a readable JSON file. It is not encrypted, so store it the way you would store any clinical document. Importing a backup replaces what is on the device.

Contact

Account, plan and billing questions go to APRN Academy through the support contact on the NoteGuide Medical product page.
